What size are the groups?

Groups can be between 3 and 9 people. You determine your group size in the platform when you set up your Group Match engagement.

What is the recommended audience size for a Group Match engagement?

We recommend an audience list of no less than 300 people. Typically, you can expect between a 15-25% opt-in rate which would result in anywhere between 45 to 75 sign-ups.

How many scheduling times should I offer in the registration form?

You can include up to 5 days/times. The number of options should depend on your audience size.

  • Less than 300, include no more than 3 days/times

  • Between 300 and 800, include no more than 4 days/times

  • More than 800, include up to 5 days/times

💡 The fewer time slots offered, the more likely your members will overlap.

What are the best time slots to recommend?

It depends on your community and internal programming calendar. Think of Orbiit as a layer in your programming offerings: you don't want to offer too many programming options during the same week. Pick a cadence and stick to it.

  • Example A: Tuesday, April 12 @ 9am; Wednesday, April 13 @ 12pm; Thursday, April 14 @ 4pm

  • Example B: Tuesday, April 12 @ 9am / 12pm / 4pm

  • Example C: Thursday, April 14 @ 11am

  • Example D: Wednesday, April 6 @ 9am; Wednesday, April 13 @ 9am; Wednesday, April 20 @ 9am

How many questions should be used to match?

You do not want to overshoot on the number of questions or be too restrictive. For optimal matching, see our recommendations based on your audience size.

  • Less than 300, ask up to 3 questions

  • Between 300 and 800, ask up to 4 questions

  • More than 800, ask between 3 to 6 questions

💡 In addition to their indicated availability, strong groups are generally formed by 3 questions.

How long should my registration window be open?

Unless your community is expecting this form of programming and it is built into your programming schedule, we suggest keeping registration open for 4 to 5 days with the actual meeting dates taking place two weeks out to ensure participants have availability.

What is the recommended meeting duration?

We suggest anywhere between 45 to 60 minutes. A 30-minute group meeting is too short for any meaningful interaction. Generally, we suggest starting with 45 minutes and increasing up to 1 hour if participants are suggesting that through the feedback forms. To update or adjust your meeting times, please email [email protected].

Can we set recurring group matching sessions?

At this time, no. Group Match is point-in-time, one-off meetings – the groups themselves cannot yet be set to recurring. We’ll be adding recurring group sessions to V2 which will likely be released in late Q2.

Can we edit the groups after the matches have been made?

Yes. Orbiit will send you a CSV of the pre-made groups and you will have 48 hours to make any edits or updates to the groups. Once you’ve made your changes and sent the CSV back to the Customer Success team, all updates are final. Group changes and swaps cannot be adjusted once invites have been sent.

In my community, there are some companies that are competitors and in the same location, therefore we don't want to place members from them in the same group. How will we handle this?

You can edit/adjust groups during the 48-hour review period.

Can someone join a group matching session once the groups are allocated?

Once the registration window is closed, the form is closed. All participants need to sign up during the registration period – we cannot make any exceptions because we use the data that is collected through the registration process to automate the rest of the process (emails, scheduling, invites, etc.).

What can we do if someone wants to be assigned to a different group after being assigned?

Once the groups are finalized, we cannot make any adjustments.

Can a group reschedule their meeting?

Yes, the participants have full edit access and control over their calendar invite. If they all agree on a new time, they can work together to reschedule.

Do I have visibility into calendar invites and email introductions?

Not by default. If you’d like to oversee acceptance rates and email communication between group members, please provide an email address to our Customer Success team. We will make sure you’re added to all invites and email communication.

Do you have any announcement starter copy for a Group Match launch?

Yes, you can find it here. Along with leveraging Orbiit’s invite/reminder emails, we highly encourage clients to send an announcement email prior to sending the Orbiit invite email. This helps spread awareness of the new program offering and introduces your audience to Orbiit.

💡 We see the highest amount of engagement when the client sends 1 announcement email, 1 mention through the newsletter and/or community forum (i.e. Circle, Slack), and the 2 emails through Orbiit.

How are moderators assigned?

The registration form asks the participant if they are willing to be a moderator. When matching, our algorithm will place at least one moderator in every group. If later on a member decides they no longer want to be a moderator but before group matches are executed, the Community Manager/Builder will be able to adjust that in the Edit Matches file within the 48-hour review window.

Can I elect or choose the expert/moderator?

That will be a feature in V2 of the group match product. You’ll have the ability to assign session experts (e.g. speakers, product/knowledge experts, account executives). Currently, changes to the moderators can be done through the 48-hour match review window.

Can I ensure I have one ‘expert/investor/people leader’ in the group?

Aside from the moderator, we cannot automatically ensure there is a certain profile in every group. However, you can ask a related question as part of the matching criteria and use the responses to form/develop the groups during the 48-hour review process.
