Best Practices for Registration Dates

This article shall answer any questions you might have about the registration window of a matching round

Choose your registration window and the deployment dates/times of your invite and reminder emails. Orbiit will take care of the execution.

A registration window is the very first step of the Orbiit participant journey. This is when they receive an invitation to sign up for a matching round followed by a reminder email sometime later.

Our Orbiit platform offers flexibility to community builders to decide on registration window dates. For now, it is not possible to set the registration window to close on Friday or Saturday. The reason is that matches are always executed on the following day which in that case will fall during the weekend and no one from our Engineering team will be working to fix any last-minute issues.

What is the best day to send an invite email?

  • A Day of the week

  • Don't recommend Monday as everyone is clearing out their inboxes of junk from the weekend

  • The best day depends on members of the community - e.g for more senior members, the best day might be Thursday when most of their schedules are cleared, for less senior - Tuesday is a good option

What is the best day to send a reminder email?

  • Day of week - probably Thursday

  • For more senior members, send it on the last day of registration, for less senior, send it 24 hours before the registration window closes

  • Don't send a reminder email out too close to an invite email - need to give time to resonate

    • If registration is open for two weeks, ensure you span the invite and reminder emails out across a reasonable amount of time

    • 2 days after the invite email is too close unless the engagement window is too short
