Group Member Size Is Important
Ensure the size of groups you select will still be enough people if some members do not show up for their conversation.
Example: If you create a group of four and two members do not show, only two members will be connecting. They are leaving with a bad experience due to the group size.
By standard effect is a real thing; groups that are too large have some people dropping off because they are not engaged. Because the group was too large, they did not feel connected.
This is not a one-size-fits-all. Each topic and audience may require thoughtful consideration for the optimal group size.
Give Your Audience Conversation Date & Time Options
When picking dates and times for your audience conversations, ensure you are spreading the time offerings.
Choose Your Topic
Audiences are most likely to opt-in to an engagement when they find discussing the chosen topic beneficial or valuable for their situation.
When you select your topic for your next engagement, please take a look at the previous engagement Feedback Forms and past engagement dashboards or simply research what issues/questions your community is dealing with. Here you will find topics your community has identified as topics they would like to discuss next.

Personalize Your Invite & Reminder Emails
This is a GREAT opportunity to personalize your message and drive excitement about this matching round to your community.
Explain the benefits of the program by including value-driving metrics and testimonials. Make sure to have some of the following details in your invite emails:

Participant Testimonials to showcase the value members find in the conversation.s

You can personalize these emails and leverage them as a standard communication tool for your audience.
Conversation Dates
Based upon our research, people are more likely to opt-in to an engagement when conversation dates take place the Thursday & Friday after the registration window closes.
During the holidays (summer, Thanksgiving, Christmas, New Year's Eve), avoid scheduling conversations for Fridays - Wednesdays and Thursdays preferred.

Internal Promotion
Promoting the engagement internally
(outside of Orbiit invite opt-in and reminder emails)
can largely determine the number of opt-ins you will receive.Orbiit recommends a minimum of four outreaches specifically for each matching round. An ideal outreach schedule should look like this:
Community-wide outreach to the community sharing the opt-in link and bringing awareness to the matching round
Orbiit Invite emails
Community-wide outreach to those who have not opted-in
Orbiit Reminder emails
Promote the engagement before it goes live.
Let members know what you have planned for them and build anticipation for conversation topics.
The opt-in link for live events should be shared in any of the below channels.

For Partner engagements
If you are running an engagement in collaboration with your partners, make sure you send them the opt-in link at least 5 working days in advance so they have enough time to share it with anybody who would be willing to participate in the matching round.
Stay Consistent
You can make announcements through every possible channel.
Use brand evangelists
Identify members of the audience who could help promote and build excitement by re-sharing the opt-in link and giving a personal testimonial to the group. Usually, these would be your power users.
Please get in touch with Client Success ([email protected]) to ask for a list of power users who will help you identify your most active members who will best promote the Orbiit program. Otherwise, you can see the power users of each engagement when you navigate to an engagement and go to the opt-ins page.
Personally reach out to non-adaptors
Please reach out to Client Success ([email protected]) to ask for a list of people who have never signed up for an engagement and target them with a direct email.
